This guide is for owners of hotels, restaurants, clinics, shops and service businesses who are deciding how customers should reach them from the website. It covers why WhatsApp tends to win, what a WhatsApp-first site looks like in practice, how the link works, what each option costs at our published USD prices, and the cases where we still build a form.
Why do WhatsApp enquiries often beat contact forms?
A contact form asks the customer to do work and then wait. They type their name, email, phone and message, press send, and hope someone reads it. Nothing tells them when that will be. Some never finish the form, and some who do send the same question to your competitors while they wait.
A WhatsApp link removes most of that. One tap opens a chat the customer already knows how to use, with your business at the top and, if you set it up, the first message already typed. They press send and the conversation exists. You see their name and number without asking for them, you can reply with photos, a price list or a location pin, and the whole thread stays on both phones for the next booking.
- Less typing for the customer. A prefilled message means one tap to send, not five fields to fill.
- A faster first reply. The message lands on a phone someone carries, not in a mailbox someone checks at night.
- A thread you keep. Repeat customers come back to the same chat instead of starting over.
- Richer answers. You can send room photos, a menu, a quote or a map pin in the same place the question arrived.
- No email address needed. Some customers simply do not use email to contact a business.
What does a WhatsApp-first website look like?
It is not a website with a green bubble stuck in the corner. It is a site where every decision a customer makes ends in a WhatsApp message that already knows what they were looking at.
- A WhatsApp button on every page, visible on a phone without scrolling back to the top.
- A different prefilled message for each page, so a tap on the Deluxe Room page says the customer is asking about the Deluxe Room.
- The same number everywhere: header, footer, Google profile and packaging, so customers never wonder which one is real.
- Reply hours shown next to the button, so nobody expects an answer at 3 a.m.
- A fallback for people without WhatsApp: a phone number or an email address, shown plainly.
Hotel Vagmi in Varanasi is the clearest example we have built. The owner asked for no enquiry forms, so there are none. Rooms that are on the hotel's booking engine link straight into booking.hotelvagmi.com with the guest's dates and occupancy carried across; room types not yet on the engine open a prefilled WhatsApp enquiry instead. Alongside the new site and weekly Reels, direct booking inquiries through WhatsApp rose 40%, as the case study records.
Sri Shyam Villas uses the same idea: a floating WhatsApp button on every page opens a prefilled booking enquiry, and each suite has its own page with its own WhatsApp booking link. Shree Ganesha Palace, Highlights Taal Lakeview Resort in Batangas and the Merry Plates restaurant inside it all take bookings or reservations the same way.
How do you create a WhatsApp link with a prefilled message?
WhatsApp's click-to-chat links follow one format. Start with https://wa.me/ and add your full number in international format: country code first, then the number, with no plus sign, spaces, dashes or brackets. To add a message, put ?text= after the number followed by the message, URL-encoded so spaces become %20. The customer does not need your number saved; if they have WhatsApp, the link opens a chat with you.
- Write the number in international format. An Indian mobile starts with 91, a Philippine mobile with 63, and you drop the leading 0 of the local number.
- Write one message per page, in the words a customer would use: "Hi, I'd like to check availability for the Deluxe Room."
- URL-encode the message and add it after ?text= in the link.
- Test every link on a phone and on a laptop, where it opens WhatsApp Web or the desktop app instead.
- Log each tap as an event in your analytics, so you can see which pages start conversations.
The prefilled message does a second job: it tells you where the customer came from. If a message starts with the name of a room, a dish or a service, you know which page sent it without asking. If the site runs Google Analytics, each tap can also be logged as an event, so the numbers sit in one dashboard; our Google Analytics and Search Console setup is a $99 add-on.
What does it cost to add WhatsApp to a website?
A WhatsApp link costs nothing to create. What you pay for is the website around it and whatever should happen after the first message. These are our published starting prices in USD; the table compares WhatsApp with the other ways a customer can reach you.
| Contact option | What the customer does | Price (USD) | Best for |
|---|---|---|---|
| One-tap wa.me link with a prefilled message | Taps once; WhatsApp opens with the message typed | Included in a landing page (from $349) or hotel site (from $499); on other site types, listed in the quote | Almost every small business in India and the Philippines |
| Live chat / WhatsApp widget | Opens a chat bubble on any page | $99 | Sites with many pages where the button should follow the reader |
| Custom contact form with auto-replies | Fills in fields and gets an instant email reply | $149 | Detailed enquiries, B2B quotes, customers who prefer email |
| Booking system (Cal, Calendly or custom) | Picks a free slot and gets a confirmation | $249 | Clinics, salons, consultants and anyone selling time |
| AI chatbot trained on your FAQ | Asks questions at any hour and gets instant answers | $599 | Businesses answering the same questions all day |
| WhatsApp Business API setup (our Starter plan) | Receives confirmations and reminders you send | $199 setup + $99/mo | Businesses sending order updates, reminders and broadcasts |
A hotel site at $499 takes 5–7 days and a business site at $599 takes 5–7 days. Nothing in the table is required; most small businesses start with the link alone and add a booking system or the WhatsApp Business API only when the volume of messages makes it worth it.
Is WhatsApp free for a business to use?
For replying to customers who message you first, largely yes. Meta's pricing page for the WhatsApp Business Platform says that when a customer messages you, a 24-hour customer service window opens, and all non-template messages you send inside it are free. Utility templates sent inside an open window, such as an order or booking confirmation, are also free.
What costs money is template messages. Since 1 July 2025 Meta has charged for each template message delivered, apart from utility templates sent inside an open window, so a business that starts conversations itself with templates pays per message. That is exactly why a WhatsApp-first website makes sense: every tap on your site is a customer opening the free window, not you paying to reach them. Our guide to the WhatsApp Business API in India covers the billing rules in more detail.
For a small team, the WhatsApp Business app on the owner's or front desk's phone is usually enough to begin. The Business Platform (the API) earns its place when several staff need to answer from one number, when you want automatic confirmations and reminders, or when an AI assistant should draft replies for a person to approve.
When is a contact form still the better choice?
We do not put WhatsApp on every site. We put the contact path where the customer already is, and sometimes that is somewhere else.
- When the enquiry needs detail before a reply makes sense. Rang Travels, a Delhi travel agency, plans multi-day journeys across India; its site uses an enquiry form that sends from the agency's own mailbox, so long, detailed trip requests land where the team already works.
- When customers live on another app. Thai Royale Spa in Quezon City takes bookings through Facebook and email, and LC Godoy in Manila takes B2B chicken orders on Viber as well as WhatsApp.
- When the buyer is a company. Procurement teams and overseas clients often need a written record in email that a chat thread does not give them.
- When nobody can answer the phone during the day. A form with an honest auto-reply is better than a WhatsApp chat left on read.
Many sites end up with both: WhatsApp as the main button, and a short form or an email address as the fallback. The point is to decide which one is primary and design the whole site around it, not to show six equal options and let the customer guess.
How do you keep a WhatsApp-first site working after launch?
- Name one owner for the number and a backup for days off.
- Set a greeting message and an away message in the WhatsApp Business app that state your reply hours.
- Save quick replies for the five questions you are asked most: price, availability, location, parking, payment.
- Check the links every time a phone number or a page changes; a broken wa.me link fails silently.
- Look at which pages start the most chats each month, and improve the pages that start none.
Frequently asked questions
- Is a WhatsApp button better than a contact form on a small business website?
- For most small businesses in India and the Philippines, yes. A one-tap WhatsApp link with a prefilled message asks the customer to do less, reaches a phone someone carries, and keeps the conversation in one thread. A form is still better when enquiries need detail, when buyers prefer email, or when nobody can answer WhatsApp promptly.
- How much does it cost to add WhatsApp to my website?
- The link itself is free to create. Our landing pages (from $349) and hotel sites (from $499) include a WhatsApp button, and on other site types, such as a business site from $599, it is listed in the quote. All prices are in USD. A live-chat or WhatsApp widget is a $99 add-on, and WhatsApp Business API setup on our Starter plan is $199 setup + $99/mo.
- Do customers need to save my number to message me from a wa.me link?
- No. A wa.me link opens a chat with your number for anyone who has WhatsApp, without saving the contact first. Write the number in international format with no plus sign, spaces or dashes, and add ?text= followed by a URL-encoded message to prefill it.
- Does replying to customers on WhatsApp cost money?
- Not when the customer messages first. According to Meta's WhatsApp Business Platform pricing page, a customer's message opens a 24-hour customer service window in which non-template messages and utility templates are free. Since 1 July 2025 Meta has charged for each template message delivered, apart from utility templates sent inside an open window.
- Which Digiocular websites use WhatsApp instead of enquiry forms?
- Hotel Vagmi in Varanasi has no enquiry forms at all: rooms link to its booking engine or open a prefilled WhatsApp enquiry. Sri Shyam Villas, Shree Ganesha Palace, Highlights Taal Lakeview Resort and Merry Plates also take bookings or reservations through WhatsApp.
